Executive Committee Meeting

Dec 8, 2009

A meeting of the Florida Trail Riders Executive committee was called to order at 7:05 p.m. on December 8, 2009 via teleconference. The president determined a quorum was present.

Roll call was as follows:

President Allen Pearce
Vice President Brian Morris
Secretary Tiffany St. John
Treasurer Jonny Simpkins
Enduro Chairman George Tolson
Hare Scramble Chairman Joe Steidl
Motocross Chairman Carol Preston

New Business:

Carol Preston has made arrangements to reschedule the cancelled motocross. Forest Glen MX has agreed to host the event on January 10, 2010. However, the Hare Scramble that was rained out on December 5 and 6 would also like to reschedule the event on the same weekend. Carol will contact the track and see if she can change her date to January 17, 2010. Also, Joe has not actually received a formal request from the club for the January 9 & 10 date. Allen made a motion that the Motocross be rescheduled for January 17 pending track approval. If the track cannot be secured then the original date of January 10 will be honored. The motion was seconded and passed. For: 4 Against: 1 Allen made a motion that we reschedule the OSDR Hare Scramble on January 9 and 10 pending approval of the January 17 Motocross date. If the Motocross does not get approved and moves to January 10 then the OSDR Hare Scramble will be given April 10 and 11. The motion was seconded and passed. For 3 Against 2. Carol called the track owner and confirmed that the date for the Motocross would be January 17. So the re-scheduled events are the OSDR Hare Scramble on January 9 & 10, 2010 and Motocross on January 17, 2010.

The validity of the Election Committee has been questioned. The rule book states that the BOD is to appoint a representative to serve as the Chairman of the Election Committee. In the event that the BOD does not make the appointment, the Executive Committee will do so. Bill Drymon was appointed as the Election Committee Chairman in 2004 by the Board of Directors. The specific motion did state that the appointment was for the upcoming election. Bill was again nominated to serve as Election Chairman on May 21, 2005 at a meeting of the Executive Committee with no specific term mentioned. To make things official for this election, Allen Pearce made a motion to appoint Bill Drymon as the Election Committee Chairman. The motion was seconded and passed unanimously. Joe Steidl informed the committee that he was using the Hare Scramble Referee (George Pollard) as stipulated in the rule book because he did not appoint someone during his last meeting. Carol Preston’s Motocross Committee appointed Robin Arnold to serve as their representative. George Tolson did not appoint anyone during his last meeting and his Referee was a candidate so he went down his list of officers starting with Scorekeeper to fill the position. Mark Bordelon agreed to represent the Enduro series. Joe Steidl made a motion that the members of the Election Committee were valid. The motion was seconded and discussed. The motion passed. For: 6 Against: 1.

Due to the overwhelming number of ballots, the ballot count could not be held at a race. Arrangements have been made at the Hampton Inn at I75 and County Road 484 to have a room available for the ballot count. It will be held on December 12 at 9:00 a.m. Due to the small size of the room, the only people allowed in the room will be the Election Committee, their helpers, Board Members, and the candidates or their representative.

The Election Committee received inquiries from members asking what to do if they wanted to change their initial vote. The Election Committee voted to allow the re-vote if it clearly indicated the reason. The Executive Committee will only step in if there is a formal protest by a candidate after the ballots are counted.

The forum has been shut down because all of the moderators have quit and there is no one to enforce the rules. The forum itself needs some serious overhauling. The rules need to be redefined and published. New moderators and a new Administrator need to be found. Several people were suggested on the forum prior to being closed but none of the members came forward to volunteer. Joe Steidl made a motion that until new moderators can be found, we bring the forum back up in a limited capacity. Only Officers and Club Representatives will be able to post in an informational capacity. The motion was seconded and discussed. The motion passed. For 4 Against 3. The positions will be published. Allen Pearce and Joe Steidl will receive the inquiries and report back to the Executive Committee. Clubs can contact Dan George to receive their access during this transition.

George Tolson made a motion to adjourn. The motion was seconded and passed unanimously. The meeting was adjourned at 8:30 p.m.
